When Does a Small Business Actually Need Its Own Bookkeeper?

What Does a Bookkeeper Actually Do?

A bookkeeper keeps your financial records accurate and up to date. That means recording every bit of income and every expense, making sure your bank account reconciles with your records, and giving you a clear picture of where your money is going. It’s the foundation that everything else, including your tax return and any VAT submissions, sits on top of.

A good bookkeeper also takes care of the regular submissions you can’t afford to get wrong. For most small businesses that includes VAT returns, payroll if you have staff, and self assessment at the end of the year. A bookkeeper and an accountant are not the same thing. A bookkeeper keeps your records in order throughout the year. An accountant typically prepares your year-end accounts and handles tax planning. Signs You Probably Need a Bookkeeper Right Now

The honest answer is: if you’re asking the question, you probably already need one. Most people who get in touch with me aren’t in the early, optimistic stage of starting a business. They’re a year or two in, the work is going well, but the admin has quietly piled up behind them. The books aren’t terrible, but they’re not right either, and that’s starting to cause stress.

Some of the clearest signs are: you don’t actually know if you’re making money month to month; you’ve mixed personal and business spending in the same account; you’re not sure your VAT figures are right; or you’ve been leaving everything until the deadline and then panicking. Any one of those is reason enough to get some help. All four together and it’s urgent.

What Actually Goes Wrong When You Leave It Too Long

I want to be straight with you here, because I think it’s more useful than being reassuring. Leaving your books in a mess isn’t just inconvenient. It can mean your VAT returns are wrong, which HMRC will eventually notice. It can mean you pay too much tax because your expenses weren’t recorded properly. And it can mean you have no idea whether your business is actually profitable or just busy.

The most common problems I see are: missing receipts, bank accounts that haven’t been reconciled in months, income and expenses dumped in the wrong categories, and everything left to a frantic catch-up session right before a deadline. None of it is catastrophic on its own. But these things compound, and sorting them out later takes longer and costs more than keeping on top of them in the first place.

What to Look For in a Local Bookkeeper

A few things matter more than anything else. You want someone who actually knows what they’re doing with your software, MTD (Making Tax Digital) compliance if you’re approaching the income thresholds, and who will be available when you have a question, not just at year end. MTD for Income Tax becomes mandatory from April 2026 for sole traders and landlords earning over £50,000, so if that’s you, your record-keeping needs to change now.

I’d also say: find someone you can actually talk to. That sounds obvious, but a lot of bookkeeping firms route you through a different person every time you call. I work with every client directly.
