What Does a Monthly Bookkeeping Service Actually Include?

5 min read April 2026 Ben Kennell
A monthly bookkeeping service means someone takes care of your financial records every month, not just at year-end when the panic sets in. Ben Kennell explains what that actually covers, what it costs, and how to know if it’s the right fit for your business. No jargon, no fluff.

What does a monthly bookkeeping service include? It’s a fair question, and the honest answer is that it depends on who you hire — so let me tell you exactly what mine covers and what you should expect from anyone you work with.

What a Monthly Bookkeeping Service Actually Does for You

At its most basic, monthly bookkeeping means someone reconciles your bank accounts, categorises every transaction, and makes sure your records are accurate and up to date. That might sound straightforward, but when you’re running a business it’s the thing that never quite gets done. I work with small business owners across Suffolk who are perfectly capable of doing it themselves — they just never have the time.

A proper monthly service should give you a clear picture of your finances every single month. That means you know what’s come in, what’s gone out, and whether the business is actually making money. You’re not waiting until January, surrounded by receipts, wondering why your accountant is looking at you like that.

Worth knowing

Bookkeeping and accounting are different things. Bookkeeping is the day-to-day recording of transactions. Accounting is the higher-level analysis and tax work. A bookkeeper keeps your records clean so your accountant has something to work with — and charges you less per hour for doing it.

What’s Usually Included — and What to Watch Out For

A monthly bookkeeping service should include bank reconciliation, transaction categorisation, and a basic set of management reports, usually a profit and loss statement. Some bookkeepers also handle VAT returns, payroll, CIS returns if you’re in construction, and self-assessment. I include all of those depending on what you need, and the pricing is fixed monthly from £25 so you always know what you’re paying.

What to watch out for: some services look affordable upfront but charge separately for every extra task. Always ask what’s included before you sign anything. I’d rather be straight with you about what you’re getting than have you feel surprised later.

Monthly Bookkeeping and Making Tax Digital — What You Need to Know

Making Tax Digital for Income Tax (MTD for IT) becomes mandatory from 6 April 2026 for sole traders and landlords earning over £50,000. That means using software to keep digital records and sending quarterly updates to HMRC — not just a single tax return at year-end. Monthly bookkeeping done properly means those quarterly submissions are easy, because your records are already accurate.

I use Xero for all my clients, which is MTD-compliant and connects directly to your bank. Everything is done online, so there’s no need to post receipts or dig through spreadsheets. If you’re not set up for MTD yet, sorting your monthly bookkeeping now means you won’t be scrambling when the deadline arrives.

Is a Monthly Bookkeeping Service Right for Your Business?

If you’re a sole trader, limited company, or small business spending more time worrying about your books than actually running the business, a monthly service is probably worth looking at. Around 37% of businesses already outsource their accounting, and the most common reason is simple: it saves time and reduces the risk of getting something wrong. Missing a VAT deadline or filing inaccurate records can cost you — HMRC’s late payment penalties are proportionate to what you owe and how long it takes to pay, but they’re avoidable.

The businesses that benefit most are the ones that have grown past the early stage and now have real consequences if the numbers go wrong. If you’ve just taken on your first employee, applied for a loan, or had a painful tax return, monthly bookkeeping gives you a clean, accurate picture all year round instead of a firefight in January. That peace of mind is worth more than most people expect.

If you’re still not sure whether this is right for your situation, just give me a ring. I’d rather spend ten minutes on a call helping you figure that out than have you sign up for something you don’t need. And if you do decide to work with me, 5% of every invoice goes to St. Elizabeth’s Hospice in Ipswich — something that matters to me personally, not just a line on the website.
