Bookkeeping for coaches and consultants

Your client work deserves your full attention. Your books are sorted.

Coaches consultants across Suffolk and beyond work with me to keep their finances accurate, their VAT filed on time and their self assessment handled without the last-minute panic.

You built your practice to help clients, not to spend Sunday afternoons reconciling invoices. I take the admin off your plate entirely so you can focus on the work that actually earns you money.

Is your bookkeeping costing you more than you think?

Four questions. Takes 90 seconds. Find out where your finances actually stand.

How do you currently track your income and expenses as a coach or consultant?

How do you handle your VAT registration and quarterly returns?

How do you approach your annual self assessment tax return?

How clearly separated are your business and personal finances right now?

YOUR RESULT

Your finances are taking up time and creating risk

Based on your answers, your bookkeeping is likely consuming hours you could spend on client work, and the gaps in your records could result in an unexpected tax bill or a missed filing deadline. Getting the foundations in place now costs far less than fixing the problems later. A free call with me takes 20 minutes and gives you a clear picture of what needs doing.

YOUR RESULT

You have some structure, but there are gaps worth fixing

You are managing, but managing is not the same as having confidence in your numbers. A few targeted changes to how your books are kept could save you time every month and give you the clarity to make better decisions about your practice. It is worth a conversation to identify exactly where the time and risk are sitting.

YOUR RESULT

Your finances are in good shape. Let us make sure they stay that way.

You already have solid habits in place. If you are growing your practice, taking on employees or thinking about a limited company structure, it is worth having a bookkeeper who understands the specific tax position of coaches and consultants so nothing gets missed as your income increases.

WHAT I DO

Services built around how coaches and consultants actually get paid

Whether you invoice clients monthly, work project to project or have a mix of income streams, I handle the financial admin that sits behind your practice.

01

Bookkeeping and Xero management

I keep your income and expenses accurately recorded in Xero each month, so you always have a clear, up-to-date view of what your practice is earning. You get direct access to your Xero account and I am available to answer questions when something comes up.

Monthly bookkeeping
02

VAT returns and MTD submissions

If you are VAT registered, I prepare and file your quarterly VAT return in line with Making Tax Digital requirements, so you never miss a deadline or overpay through an error. Coaches and consultants often have a mix of VATable and exempt income, and I make sure your returns reflect your actual position accurately.

Quarterly VAT
03

Self assessment tax returns

At the end of each tax year, I prepare your self assessment return based on the records I have kept throughout the year, so there are no last-minute scrambles and no missed allowable expenses. You tell me what you have spent on your practice and I make sure it is recorded correctly.

WHY IT WORKS

What working directly with a dedicated bookkeeper gives you

This is not a portal where your query goes into a queue. It is a direct working relationship with one person who knows your accounts.

One person, every time

There is no team, no account manager sitting between you and the work. When you contact me, you speak to the person who actually does your books. That means fewer repeated explanations and faster answers when something urgent comes up.

Fixed monthly pricing from £25 per month

You know exactly what your bookkeeping costs each month, with no surprise invoices for additional queries or short calls. For a practice built on charging clearly for your own time, that kind of pricing transparency should feel familiar.

Xero access and MTD compliance included

I set up and manage your Xero account so your records are cloud-based, accessible and fully compliant with Making Tax Digital. You can log in any time to see your figures, and I handle all the compliance submissions so you do not have to think about HMRC deadlines.

FROM CLIENTS I WORK WITH

What clients say

GETTING STARTED

How we start working together

Four straightforward steps from first call to sorted finances.

01

Book a free call

We spend 20 minutes on a call where I ask about your practice, your current setup and what is causing you the most friction with your finances. There is no sales pressure and you leave with a clear sense of what you actually need.

02

I send you a fixed-price proposal

Based on what we discussed, I send you a written proposal with a fixed monthly fee covering exactly the services you need. The price does not change unless your business does.

03

We set up Xero and connect your accounts

I handle the Xero setup or take over your existing account, connect your bank feeds and bring your records up to date. If your books are behind, I sort that out as part of getting started.

04

I handle it from there

Each month I reconcile your accounts, prepare any VAT returns due and keep your records accurate. You stay in the loop through Xero and I am available directly by phone or email when anything comes up.

COMMON QUESTIONS

Common questions from coaches and consultants

If you are earning enough to pay yourself, you are earning enough to need accurate records. The question is whether you want to spend your time maintaining them. Most sole trader coaches and consultants I work with find that the hours they spent on financial admin each month cost them more in lost earning time than my monthly fee. Beyond the time saving, having clean records means your self assessment is straightforward and you are not overpaying tax because your expenses are not properly recorded.
Yes. Variable income is normal for consultants and I account for it straightforwardly in Xero. Monthly bookkeeping still works the same way whether you invoice two clients or ten. The key is keeping records consistent so your VAT and self assessment figures are accurate regardless of how lumpy the income is.
IR35 is the set of HMRC rules that determine whether your income from a client contract should be taxed as employment income rather than self-employed income. The rules apply on a contract-by-contract basis and depend on the specifics of how you work. I handle bookkeeping and can keep your limited company accounts in order, but for a formal IR35 determination on a specific contract I would recommend you speak to an accountant. I am happy to point you in the right direction on a call.
Fixed monthly pricing starts from £25 per month for sole traders. What is included depends on what you need: monthly bookkeeping, VAT returns, self assessment and Xero management are all available. I send you a written proposal before we start so there are no surprises. Five percent of every invoice I raise goes to St. Elizabeth's Hospice in Ipswich, so your fees contribute to that directly.
